1. COMMITMENT TO PRIVACY

Intel2Talent Canada Inc. “Intel2Talent” is committed to protecting the privacy, confidentiality, accuracy and security of personal information in its possession. This policy describes how Intel2Talent collects, uses, discloses, and protects the personal information of clients, candidates, and other individuals who do business with Intel2Talent or who work at Intel2Talent.

Personal information” means data about an identifiable individual or any information that allows an individual to be identified directly or indirectly, such as name, address or email, age, gender, personal financial information or identification numbers.

Intel2Talent is a leading firm in executive and director recruitment, as well as valuation, consulting and strategy. Based in Montreal, Intel2Talent is subject to federal and provincial privacy legislation. Our obligations also apply to all partners, consultants, employees, suppliers and agents, in the provision of professional services. Personal information in our possession or that we collect is treated and managed in accordance with privacy and data privacy legislation.

Intel2Talent is committed to collecting, using, and disclosing personal information responsibly, only to the extent of a consent obtained from individuals and for business purposes.  It also undertakes to ensure that the personal information from individuals and organizations is limited to what is required for the purposes of providing professional services, carrying out clients’ requests and instructions or for any other valid reason identified in this policy.

Intel2Talent specifies that the personal information and data collected will only be used as mentioned in the terms of this policy, as required or permitted by law, or once it has obtained written and express consent to do so.

 

2. NATURE OF PERSONAL INFORMATION COLLECTED

Intel2Talent collects and manages different types of personal information in connection with the provision and management of its professional services, including:

  • contact details, name, email and cell phone number;
  • hiring information (resume, job title, education, employment history, current and previous employer names, certification, classification, professional association, annual income, references);
  • other personal information required according to the mandates.

 

3. PURPOSES FOR INTEL2TALENT COLLECTION, USE AND DISCLOSURE OF PERSONAL INFORMATION

A. Personal Information Collected Under Mandates

Intel2Talent may collect, use, or disclose personal information for the following purposes:

  • Research of candidates as part of recruitment mandates from our clients. Information about potential candidates is shared with our clients only in the course of providing our services. When a mandate is confidential, only basic information about potential candidates is shared.
  • Mapping mandates for certain roles or industries and market insights. In such cases, only basic information is shared.
  • Consulting, evaluation and coaching mandates. Information is shared between our clients and our consultants according to the mandates, and always in compliance with the applicable legislation.
  • Presentations of our services, invitations to events, announcements of our development and our team, etc.

B. Personal Information Collected in Connection with Hires for Intel2Talent

Employees

As an employer, Intel2Talent collects and uses personal information about its employees. We are committed to collecting, using and disclose this information only as necessary to properly manage our employee relationships.

Internal potential candidates

 Intel2Talent collects personal information about candidates it would like to hire for its own purposes in order to evaluate their application for employment. This information may come from third parties, for example in the case of professional references, background checks and screening services. If the candidate is not hired, Intel2Talent retains his/her information for a reasonable period of time in the event that another position becomes available or the candidate applies again, unless he/she asks to delete his/her personal information.  Background checks are kept for a period of one year. If Intel2Talent hires the candidate, the information is added to the employee file.

Intel2Talent also collects and maintains personal information about its former employees, such as name, contact information, status and employment history.

C. Personal Information Collected on the Website

When an individual browses Intel2talent’s website, certain personal information about browser cookies, IP address, language, date and time of visits and pages viewed is collected. However, no personal information is extracted from this process and the data is not disclosed to any third party in accordance with this Privacy Policy.

 

4.  AUTHORIZATION AND CONSENT TO USE PERSONAL INFORMATION

When a third party discloses another individual’s personal information to Intel2Talent, such as verifying criminal and credit records or diplomas by an external firm, the latter declares having previously obtained the candidate’s authorization for Intel2Talent to collect, use and communicate their personal information for the purposes provided for in this Privacy Policy, and that it has the legal authority to authorize Intel2Talent to have access to it.

In many situations, privacy legislation requires Intel2Talent to obtain permission from any individual to collect, use, or disclose personal information about them. Such consent may be given orally or in writing; it can be explicit (in a consent form, by email, in person or over the phone) or implied (for example, when someone provides personal information in the context of a relationship), depending on the circumstances and the degree of confidentiality of the information. Consent permits the reasonable use of personal information in the course of providing services for as long as necessary for the above purposes. The authorization remains in effect even after the termination of the relationship with Intel2Talent, unless the individual withdraws their authorization in writing.

The law contains certain exceptions under which Intel2Talent is not required to obtain authorization or explain its reasons for collecting, using or disclosing personal information such as: emergencies that threatens the life, health or security of an individual or the obligation to comply with a court order. Aside for any legal exceptions, personal information will only be used or disclosed for the purpose for which it was collected. If, for any reason, Intel2Talent needs to use or disclose personal information for a purpose other than originally identified, Intel2Talent will take steps to obtain the individual’s consent.

Intel2Talent also retains certain information about its current and past clients, always in compliance with the applicable legislation.

5. DISCLOSURE OF PERSONAL INFORMATION

 As part of the services offered, Intel2Talent discloses the personal information collected only to its clients in the context of professional mandates and services and does not disclose any other information to third parties.

Intel2Talent does not sell, rent, or trade client or candidate lists or any other personal information.

 

6. ACCURACY OF INFORMATION

It is important that the personal information collected is accurate and complete. Any individual can consult, confirm or change their personal information and thus help Intel2Talent keep their information and data up to date by notifying of any necessary modifications or changes (for example, change of employment, a new address or a new telephone number).

If an individual becomes aware that any data about him/her is no longer valid, incorrect or incomplete, he/she may report this to Intel2Talent, which will make the necessary corrections promptly and make all reasonable efforts to communicate such changes to other parties to whom it may have inadvertently sent.

 

7. RETENTION AND DELETION OF PERSONAL INFORMATION

Intel2Talent retains personal information for as long as necessary to fulfill the purposes for which it was collected, or as permitted or required by law.

When personal information is no longer required, Intel2Talent will delete or destroy it in accordance with the legislation and the current Privacy Policy, or if requested by a client once a mandate has been completed or other deadline, but not exceeding a period of seven (7) years.

 

8. SAFEGUARDS FOR THE PROTECTION OF PERSONAL INFORMATION

Intel2Talent stores personal information in electronic format in the document management system and technologies that Intel2Talent uses for its records. Intel2Talent ensures that all appropriate measures, physical and electronic, are implemented to protect its systems and all personal information under its control against unauthorized use or access. All security measures are adapted to the level of confidentiality of the collected information.

Employees are subject to strict standards and policies to ensure that personal information is protected and treated confidentially.

Intel2Talent takes all appropriate measures to protect the personal information it holds, including in commercial software and sites (referred to as “cloud computing”).

 

9. CONTACT INFORMATION

 Individuals may contact Intel2Talent’s Privacy Officer for further information about privacy policies and procedures, to request access to certain personal information that Intel2Talent may hold about them, or for any questions or concerns. Intel2Talent reserves the right to request personal information from any individual to verify their identity.

Intel2Talent will respond promptly and make every effort to address the issues raised. However, they may not always be able to provide some personal information because the right of access to information is not absolute. If it is not possible to provide the requested information, Intel2Talent will notify the individual in writing, explain why, and indicate possible remedies.
